Position Summary:

The Head of Loan Operations at The Claxton Bank plays a key role in ensuring the efficient and compliant processing, documentation, and servicing of the bank’s consumer and commercial loan portfolio. This hands-on leadership position is ideal for a detail-oriented professional with strong lending operations experience and a commitment to delivering excellent service. The Head of Loan Operations wears many hats—working closely with loan officers, compliance, credit administration and frontline staff to maintain the accuracy and integrity of loan operations while supporting our high-touch, relationship-focused, common-sense approach to community banking. 

Key Responsibilities:

• Operations Management • Oversee day-to-day operations of the loan department, including loan booking, documentation review, post-closing activities, and file maintenance. • Monitor workflow and ensure timely and accurate processing of real estate, commercial and consumer loans. • Maintain efficient procedures for handling insurance tracking, credit reporting, escrow administration, and lien perfection. • Compliance & Quality Assurance • Ensure loan files meet all regulatory and internal compliance requirements, including those related to flood insurance, HMDA, fair lending, and credit bureau reporting. • Collaborate with the Senior Risk Officer to implement policy updates and respond to audit findings or examiner recommendations. • Monitor loan documentation and servicing processes to reduce errors and maintain audit readiness. Team Leadership • Supervise and support loan operations team, including assigning tasks, setting priorities, and providing training and performance feedback. • Promote a supportive and service-oriented team environment that encourages operational excellence, collaboration, and continuous improvement. • Provide guidance to team on regulatory requirements and procedural changes. Process & Systems Improvement • Identify opportunities for process improvement and efficiency within the loan operations function, including opportunities for automation. • Serve as a resource for core banking and loan documentation systems (e.g., troubleshooting, updates, vendor communication). • Develop and maintain operational checklists and training materials to ensure consistency and accuracy across tasks. Cross-Functional Collaboration • Work closely with loan officers, credit administration and frontline staff to support smooth loan closings, timely document submission, and excellent customer service. • Provide support and clarification on documentation requirements, policy updates, and operational procedures. • Help ensure smooth coordination between loan operations and other departments (e.g., accounting, IT, compliance). 

Qualifications:

Education: High school diploma or equivalent required; associate or bachelor’s degree in business, finance, or a related field preferred. 

Experience:

• Minimum 7 years of experience in loan operations within a banking environment.  • At least 2 years of supervisory or management experience, preferably in a bank setting.

Skills & Competencies:

• Strong understanding of loan documentation, post-closing processes, quality control and assurance, and banking regulations.  • Excellent attention to detail and organizational skills.  • Effective communication and leadership skills.  • Proficient in Microsoft Office Suite; experience with bank core and loan systems (e.g., CSI, Hawthorne River, Fiserv, Jack Henry, LaserPro) a plus.  • Ability to multitask and manage priorities in a small team environment

Wage or Salary: $85,000
